# Managing experts

> Track your calls, make and review offers, message experts, set budgets, and dismiss an expert from My Experts.

## Overview

Click **My Experts** in the left sidebar to manage the experts you talk to and work with. The page has three tabs: **My Experts** for your calls, offers, and active experts, **Message Center** for your conversations, and **Reviews** for the reviews you have given and received. Before you unlock the Marketplace, the page shows a preview with **Access Full Marketplace**. To find experts first, see [Finding experts](https://docs.dover.com/recruiter-marketplace/finding-experts/).

## Managing your experts

The **My Experts** tab shows two things: your matching calls and the experts you work with.

### Matching calls

The **Matching Calls** table lists every call you have booked. Each row shows the **Recruiting Partner** (the expert), **Stage**, **Call Date**, and who it was **Scheduled By**. Use **Filter by Stage** to narrow the list.

| Stage | What it means |
| --- | --- |
| **Booked** | You have a call, and you haven't decided yet. |
| **Matched** | You and the expert agreed to work together. |
| **Not matched** | You decided not to work with this expert. |
| **Terminated** | You or the expert ended the partnership. The expert can no longer access your account or bill you. |

The **Actions** column changes with the stage. A booked call shows **Make Offer** and **Not a match**. An offer in progress shows **Review Offer** or **Edit Offer**. A matched expert shows **Manage Recruiter**.

### Your active experts

Below the table, each expert you work with has a card showing their budget (or **No budget set**) and a **Manage Recruiter** button. Click it to open the expert's profile, where you can send a message, set a budget, dismiss them, or request a refund. See [Manage an active expert](#manage-an-active-expert).

At the top of the tab, a progress bar can show how many experts you have talked to compared with the average company, so you can see whether you have compared enough options before choosing.

## Offers and pay structures

After a call, you and the expert agree on terms in an offer. Either of you can propose one.

### Pay structures

Every offer has a rate. Choose how it is billed with **Rate Frequency**, and add an optional success fee for a hire.

| Pay structure | How it works |
| --- | --- |
| **Hourly** | The expert bills for the hours they work at the hourly rate. You can set a weekly or monthly budget notification to watch their progress. |
| **Retainer** | You pay a fixed amount **Weekly**, **Monthly**, or **One time**. A retainer needs a **Retainer Start Date**. |
| **Pay-per-hire** | You pay a **Success Fee** when a candidate is hired. It can be a **Percent** of the candidate's first-year base salary, or a **Fixed** fee paid when the candidate accepts. |

You can combine a rate with a success fee. A guarantee can also protect a hire. See [Guarantee a hire](#guarantee-a-hire).

### Review an offer from an expert

When an expert sends you an offer, it appears on the **My Experts** tab in **Matching Calls**.

1. Click **My Experts** in the left sidebar.
2. In **Matching Calls**, find the expert. If you don't see the offer, set **Filter by Stage** to **All Stages**.
3. Click **Review Offer**. If the expert changed their offer, the button says **Review updated offer**.
4. Read the terms: the **Rate** and **Rate Frequency**, any success fee, and any guarantee. Read retainer and success fee terms carefully.
5. Click **Approve Offer** or **Reject Offer**.

### Make an offer to an expert

1. Click **My Experts** in the left sidebar.
2. In **Matching Calls**, click **Make Offer** next to a booked call.
3. Enter the **Rate**, and choose a **Rate Frequency**: **Hourly**, **Weekly**, **Monthly**, or **One time**.
4. For a weekly, monthly, or one-time retainer, choose a **Retainer Start Date**.
5. To add a success fee, turn on **Success Fee** and choose **Percent** or **Fixed**. Enter the **Percent Success Fee** or **Fixed Success Fee**.
6. Optionally, choose a **Guarantee Type** and **Guarantee Duration**.
7. Optionally, add **Additional Offer Details**, such as the scope of work.
8. Click **Submit Offer**.

To decide that an expert isn't right, click **Not a match** instead.

### Guarantee a hire

A guarantee covers a hire who leaves early. Choose a **Guarantee Type**: **None**, **Replace candidate**, **Prorated refund**, or **Replace candidate or prorated refund**. Then choose a **Guarantee Duration** of **30 day**, **60 day**, or **90 day**.

If the candidate leaves or is terminated within the guarantee period, the expert replaces the candidate, offers a prorated refund, or either, depending on the type you chose. Dover holds the success fee payment until the guarantee period has passed. See the [Terms of Service](https://www.dover.com/terms) for details.

### Change or retract your offer

While an offer you made is waiting for the expert, click **Edit Offer** in **Matching Calls**. Click **Update Offer** to change it, or **Retract Offer** to withdraw it.

---

## Message experts

Click **Message** on an expert's profile, or open the **Message Center** tab, to talk to experts in Dover. **Message Center** lists your **Conversations**. Use it to compare experts before you make an offer, or to talk to an expert you work with. If you have no conversations, start one from an expert's profile or compose a new message in **Message Center**.

---

## Manage an active expert

Click **Manage Recruiter** on an expert's card, or in **Matching Calls**, to open their profile and these actions:

| Action | What it does |
| --- | --- |
| **Message** | Opens a conversation with the expert in **Message Center**. |
| **Set Budget** | Opens a form where you set a weekly or monthly budget for the expert. |
| **Dismiss Recruiter** | Ends your work with the expert. They immediately lose access to your Dover account and can no longer bill time. |
| **Request Refund** | Opens a form to request a refund. |

### Dismiss an expert

1. Click **My Experts** in the left sidebar.
2. Click **Manage Recruiter** on the expert's card.
3. Click **Dismiss Recruiter**.
4. Complete the review: give an overall rating, tell Dover why you are dismissing the expert, and share how they did against your expectations. You can add a public review and private feedback.
5. Click **Dismiss**.

The expert's card shows how many days you have left to leave a review. Click **Leave Review** to add one later. Your data stays in your Dover account.

---

## Reviews

The **Reviews** tab has two lists. **Reviews received** shows what experts have shared about your company. **Reviews given** shows the reviews your team has left for experts.

---

## Frequently asked questions

### Can I work with more than one expert at once?

Yes. You can work with several experts at the same time, for different roles or to compare approaches.

### When am I charged for an expert's work?

It depends on the offer you approved. Hourly experts bill for the hours they log, retainers bill the amount you agreed, and a success fee is paid when a candidate is hired. See [Marketplace usage and billing](https://docs.dover.com/recruiter-marketplace/marketplace-usage-and-billing/) to follow charges.

### Can I set a budget for an expert?

Yes. Click **Manage Recruiter** and then **Set Budget** to set a weekly or monthly budget. A budget is a way to monitor an expert's progress. To stop an expert from billing, dismiss them.

### What happens when I dismiss an expert?

They immediately lose access to your Dover account and can no longer bill time. You can leave a review for a limited time after you dismiss them.

### I can't find an offer I'm expecting. Where is it?

Open **My Experts**, find the expert in **Matching Calls**, and set **Filter by Stage** to **All Stages**. A stage filter other than **All Stages** hides rows in other stages.
